All example builds

An after-hours line that answers emergencies instead of sending them to voicemail

Calls are answered in your name day and night, urgent jobs go straight to whoever is on call, and every quote gets a follow-up until the customer answers.

An example build for plumbing, HVAC and electrical companies

Every morning

What you’d see

  • A 7:00 AM report: calls answered, urgent jobs sent, quotes waiting
  • One list of open quotes, each with its next follow-up date
  • Every caller’s details on the job instead of in a voicemail box

What slips today

Nobody did anything wrong. There just weren’t enough hands.

  • After-hours calls go to voicemail, and the caller tries the next company on the list.
  • Quotes go out and nobody checks back.
  • Work orders get re-typed into invoicing at the end of the day.

    With the system

Last night’s calls were answered. The no-heat call went to your on-call tech at 9:12 PM, and the details are in your job list.

The office re-types yesterday’s work orders into the invoicing system.

    With the system

    With the system

Common questions about hours and service area get answered. Booking requests come in with the details filled out.

    Today

Last week’s water heater quote is still sitting there. Nobody has called back.

    With the system

The customer got a friendly follow-up on Monday and replied today: “Let’s do it.” It’s flagged for scheduling.

  5. 4:45 PM

    Paperwork

A homeowner with a backed-up drain gets voicemail and calls the next company.

    With the system

Answered in your name, marked urgent by your rule, and sent to the on-call tech. The customer got a confirmation text with a request number.

Rules it follows

Routing and approvals follow your rules every time. These are examples; you set your own.

  • Water inside the home or no heat in winter is urgent: text the on-call tech now.
  • If a caller smells gas, the assistant tells them to get out and call 911 or the gas utility first, then alerts the on-call tech.
  • Never quote a price on the phone. Offer an estimate visit.
  • Follow up on open quotes on day 2 and day 5, business hours only.
  • Billing disputes always go to the owner.

Handled with care

  • The assistant says it’s an assistant. Anyone who asks for a person gets one, or a callback.
  • Texts go only to customers who said yes, and STOP always works.
  • Recording or transcription is announced before it starts.

Connects to

  • Your business phone number
  • Your field-service software or a shared spreadsheet
  • Google or Microsoft 365 calendar
  • Text messages, with consent
