  1. 7:41 PMCall answered. Water coming up through a basement floor drain. Urgent under your rules, so the on-call tech got a text.
  2. 8:06 PMQuote request for a furnace replacement. Request #1049 opened and an estimate visit offered.
  3. 8:52 PMA customer moved Thursday’s visit to Friday at 10 AM. Calendar updated and the tech told.
  4. 9:30 PMSupplier invoice matched to purchase order 2231. Waiting for your approval.
  5. 10:47 PMA caller disputing last month’s bill. Outside the rules, so it goes to a person. You have the summary; they’ll hear from you by 9 AM.
  6. 11:58 PMTwo quotes from last week are still open. Follow-ups set for 9:00 AM, because nobody gets a text overnight.
  7. 2:14 AMWarranty registration received and filed to the customer’s record.
  8. 6:12 AMEarly caller booked a furnace tune-up for Thursday at 2 PM.
  9. 7:00 AMMorning report sent. Nothing slipped overnight.
An example night at a made-up home-services company: 3 calls answered, nothing left in voicemail. Callers and numbers are illustrations.

You wake up to a report, not a voicemail box.

Everything that came in overnight was answered, sorted and written down. The routine work is done, follow-ups wait for business hours, and the one thing that needs you is on top.

That’s the whole idea. The money is already in the building. What leaks it is the cracks: the call nobody could grab, the quote nobody chased, the form typed three times. We close those cracks with systems that do the steady, repetitive part of the work, and we keep them running.

Changes the examples on this page. Nothing you type is sent anywhere.

Needs you

A caller is disputing last month’s bill. Their details and a summary of the call are attached. They were told to expect a call from you by 9 AM.

An example report from the night above. Made-up business and callers.

Three jobs. One rule.

Most small businesses lose time and money in the same three places. We set up a system for each one, connect it to the tools you already use, and keep it running.

It answers the phone.

AI Receptionist & Assistant

Calls and web chats get answered, day or night. Your assistant greets people with your business name, answers common questions, takes down the details, and sends urgent calls to the right person.

Before
Voicemail. Maybe they call back. Maybe they call the next company on the list.
After
Answered in your name, details written down, urgent calls sent to whoever’s on call.

Rules you might set

  • Water inside the house after hours is urgent: text the on-call tech.
  • Never quote a price. Offer an estimate visit instead.
How the receptionist works

It follows up on every quote.

Lead & Quote Autopilot

Every call, text and web form becomes a request with its own number. It sends a quick reply right away, logs it where you keep track of jobs, and follows up until the customer answers. Texts only go to people who agreed to get them.

Before
Quotes go out and nobody checks back. You meant to call Thursday.
After
Each quote gets a number and a follow-up schedule. Nothing depends on someone remembering.

Rules you might set

  • Follow up on day 2 and day 5, during business hours only.
  • Stop the moment the customer replies, books or opts out.
How the quote follow-up works

It does the paperwork.

Ops Autopilot

The copying, re-typing and report-building your team does by hand. Forms and emails get read and filed, information moves between your systems, and the weekly report shows up on its own.

Before
The same customer details typed into three places. Friday afternoons lost to reports.
After
Entered once, filed everywhere. Reports built and sent on schedule for you to review.

Rules you might set

  • Nothing posts to the books without a person’s OK.
  • Anything that doesn’t match goes to an exceptions list.
How the paperwork automation works

The rule for all three

Anything unusual goes to a person. You still make the decisions.

Every step, on the record.

Pick a request and watch what happens to it: what the system hears, what it checks against your rules, what it does, and when it hands off to a person.

Examples. You set your own rules.

AI is only as dependable as the IT under it.

Newlinx started as an IT company, and we still build and run the foundation: the phones your receptionist answers, the email your follow-ups go out on, the accounts and network everything runs on.

Behind it are 15+ years of hands-on work in networks, business phone systems and automation. When the AI and the IT come from the same place, the after-hours call, the confirmation text and the logged job all land where they should.

How customers reach you

Phones and email, set up so calls land in the right place and your mail is trusted.

Where the work happens

Microsoft 365 and the rest of your tools, set up cleanly and documented.

What everything runs on

Networks and security that stay up and keep access limited.

From one conversation to a working system.

No long discovery phase and no per-seat subscriptions stacked on top. One job, done properly, then the next.

  1. Map the quick win

A short, free call. Bring the one task that eats your week, and we’ll find the automation that saves you the most. If it isn’t worth automating yet, we’ll say so.

  2. Build it

We set it up with your services, your questions and your rules, and connect it to your phone, email and tools. A first system is planned to go live in about two weeks.

  3. Keep it running

We watch it, tune it, and add the next automation when you’re ready. Nothing gets set up and forgotten.

What are the cracks costing you?

Your numbers, your math. Type over the examples; the math updates as you go and shows its work.

These are your numbers and your guesses. It’s a way to size the problem, not a promise of what automation will recover. Job values are before your costs. On the call, we’ll check them together.

House rules for every system we build.

You’ve heard a lot of big claims about AI. Here’s where ours stop.

All eight house rules
  1. Anything unusual goes to a person.

Disputes, judgment calls and anything outside the routine work you’ve approved go to you or your team, with a short summary. You still make the decisions.

  2. It says it’s an assistant.

Callers and customers are told up front that they’re talking to an assistant, so nobody is fooled. Anyone who asks for a person gets one, or a callback.

  3. No prices or promises you haven’t approved.

It answers with the information you’ve given it. Quotes, discounts and commitments stay with you.

  4. Recording only with consent.

Nothing is recorded or kept as a transcript until the caller agrees, and the system says why before it asks. Callers who say no still get helped.

Straight answers

Common questions from owners who have heard a lot about AI and want the plain version.

What do you mean by superintelligence?

Superintelligence means AI that can outthink people at almost everything. It’s what the leading AI labs say they’re building, and their models keep getting more capable. When we say “installed,” we mean we put the newest of those models to work on specific jobs in your business: answering calls, following up on quotes and doing the paperwork. As better models come out, we move your systems to them over time as part of keeping them running, so you aren’t stuck on last year’s AI. Your rules and approvals stay the same, and a person stays in charge.

What if it gets something wrong?

Sometimes it will, and a wrong answer can sound confident. That’s why we keep its job narrow: your common questions, your details and your rules, with everything else set to go to a person. Requests are logged so you can see what came in, and we check and adjust it as part of keeping it running.

Can’t I just use ChatGPT?

ChatGPT is handy for writing an email or brainstorming. Answering your business line, logging every request where your team will see it, and following up on schedule is a different job. It takes a workflow connected to your phone, email and tools, set up with your rules and kept running. That’s the part we build.

Where does my customer information go?

The automation runs on systems we set up and maintain for you, rather than a pile of separate subscriptions. The AI part uses a business-grade AI service to read and write messages. On the call, we’ll show you exactly which services touch your information, who can see it, and how it’s handled.

What does it cost?

It depends on which job you start with and what it connects to. That’s what the free call is for: we find your first quick win and price that one thing, in writing. There’s no stack of per-seat subscriptions on top.

Do you only do AI?

No. Newlinx started as an IT company and still does the foundation work: business email and deliverability, Microsoft 365, networking, business phones and practical security. AI systems are only as dependable as what’s under them.

How long until something is running?

We plan for a first system to be live in about two weeks. It starts with a short free call to pick the one task worth automating first.

Tell us the one task that eats your week.

We’ll show you a working example and what it would take to automate it, with no obligation.

  • A short call, with no jargon and no pressure.
  • You’ll leave knowing your first quick win.
  • If automation isn’t worth it for you yet, we’ll tell you.

You’ll talk to the person who builds it.
