1. Who we are
This website is run by Newlinx I.T. Services LLC of Kansas City, Missouri, which offers its services under the name Newlinx I.T. Solutions (“Newlinx”, “we”, “us”). We’re responsible for the information described in this policy.
2. What this policy covers
This policy covers newlinxit.com, the other domains that lead to it, the request forms on those pages, and the email and calls you exchange with us about a request. It doesn’t cover information we handle for a client while doing work for them. That information is handled under our written agreement with that client and the client’s instructions.
3. Information we collect
Information you give us
When you send a request through a form on this site, we receive:
- your name and email address (required);
- if you choose to add them: your business name, phone number and website, the service your request is about, your message, and whether you’d like us to reply by email or phone.
When you email or call us, we receive your contact details and whatever you tell us. Please don’t send passwords, account credentials, payment card numbers, bank details or health information through the form or by email. We’ll never ask for them that way.
Information collected automatically
- With a form request: the date and time, the page you sent it from, the short label of the campaign link that brought you to the site if it had one (for example “flyer”), and your IP address. We store the IP address with your request and use it to limit repeated submissions and keep the form free of abuse.
- When you visit any page: our hosting provider, Cloudflare, processes technical information such as your IP address, browser type and the pages requested, so it can deliver the site and protect it from attacks.
- Visit counts: we use Cloudflare Web Analytics to count visits and see which pages are useful. It records general information such as the page viewed, the referring website, browser, device type and country, without cookies.
- Bot checks: we may use Cloudflare Turnstile on the request form to tell people from automated spam. When it’s on, Cloudflare looks at information about your browser and device to run the check, and we send Cloudflare the one-time token from the check, with your IP address, to confirm it. Cloudflare describes what Turnstile collects in its Turnstile privacy addendum.
Information that stays in your browser
The calculator, the quick-win finder and the “see it with your business name” box run in your browser. What you type into them isn’t sent to us unless you choose to add it to a request. If you carry calculator numbers to the request page, they’re held in that browser tab’s session storage until the request page fills them in, or until you close the tab. If you arrive from one of our campaign links or QR codes, its short label (for example “flyer”) is also held in that tab’s session storage, so a request you send from another page of the site still shows which link you came from. The label says nothing about you, and closing the tab clears it.
4. How we use information
- to reply to your request, set up and hold the call you asked for, and follow up about it;
- to prepare a proposal or do work you ask us for;
- to run, secure and improve this website, including preventing spam and abuse;
- to keep business, accounting and tax records;
- to meet legal obligations and protect our rights, our clients and the public.
If we ever send you marketing email, it will say it’s from us, include our mailing address and a working unsubscribe link, and we’ll stop within 10 business days of your request. We don’t use information from this site to build advertising profiles.
5. Who we share it with
We don’t sell personal information, and we don’t share it for cross-context behavioral advertising (ads based on what you do on other sites). We haven’t done either in the past 12 months. We share information only in these cases:
- Service providers that run parts of our business for us, only as needed for that job. Today these are: Cloudflare (website hosting, security, the database that stores form requests, visit counts and bot checks); Amazon Web Services (Amazon SES sends the notice of your request to us and a short confirmation to you, and the confirmation doesn’t repeat what you typed); Zoho (our business email, where copies of requests and any email you send us are kept); and our business phone provider, which carries calls, texts and voicemail to our number. If we use other tools to respond to you or do the work you ask for, such as scheduling, accounting or AI writing tools, we choose ones that keep your information confidential and don’t use it to train their own models, and we’ll add any that store your information to this list.
- Professional advisers, such as an accountant or attorney, when we need their help and they’re bound to keep it confidential.
- When the law requires it, or when we believe in good faith that sharing is needed to protect someone’s safety, prevent fraud or abuse, or defend our legal rights.
- If our business changes hands, as part of a merger, sale or reorganization, with this policy continuing to apply to information collected under it.
- With your permission in any other case.
6. Phone calls and text messages
If you call us, we keep notes so we can follow up. We record a call only if you agree at the start of that call. If you leave a voicemail, our phone service stores it, and may turn it into text, so we can call you back.
This website doesn’t sign you up for text messages. If you text us or ask us to text you, we use your number only to communicate with you about your request, and you can reply STOP at any time. We don’t share mobile information with third parties or affiliates for their marketing or promotional purposes. Text-message opt-in data and consent are never shared with any third party.
7. Cookies, analytics and browser storage
This site doesn’t use advertising or tracking cookies, and we don’t let advertising networks or social media companies track you from our pages. Cloudflare may set strictly necessary cookies to keep the site secure, for example to tell people from bots. Visit counts come from Cloudflare Web Analytics, which doesn’t use cookies. The calculator and our campaign links use your browser’s session storage as described above.
The site doesn’t change how it works when your browser sends a Do Not Track signal, because we don’t track visitors across other websites and we don’t let other companies use our site to do that. We don’t sell or share personal information or use it for targeted advertising, so a Global Privacy Control signal has nothing to opt you out of today. If that ever changes, we’ll treat a Global Privacy Control signal as a request to opt out.
8. How long we keep information
- Requests that don’t lead to working together (the form record, the IP address stored with it, and related email in our mailbox): deleted within 24 months of our last contact with you, or within 30 days if you ask. Deleted records can stay in our providers’ backups for a limited time.
- Clients: for as long as we work together, and afterward as long as tax, accounting and legal obligations require.
- Technical and security data held by Cloudflare and Amazon: kept by those providers for limited periods under their own policies.
9. How we protect information
We use reasonable safeguards suited to the information we hold. The site uses encrypted connections (HTTPS) and strict security headers. Access to requests is limited to the people who need it to respond, and our service providers protect the data they hold for us with their own security programs. No website or email system is perfectly secure, so we can’t promise that information will never be accessed without permission. If we learn of a breach that affects your information, we’ll notify you as the law requires.
10. Your choices and rights
You can ask us to:
- tell you what personal information we have about you and give you a copy;
- correct information that’s wrong;
- delete your information, unless we need to keep it to meet a legal obligation;
- stop contacting you.
Email support@newlinxkc.com or call (816) 788-9555. We’ll respond within 30 days. To protect your information, we may ask you to confirm the request from the email address you used with us. You can also have someone you’ve authorized make a request for you.
Some states, including California, Colorado and Virginia, give their residents additional privacy rights. We’ll honor those rights as the law requires, and we won’t treat you differently for using them. If we turn down a request, you can appeal by replying to our answer. We’ll give you our decision within 45 days, and if you’re still not satisfied you can contact your state attorney general.
11. Children
This site is for businesses and isn’t directed to children. We don’t knowingly collect personal information from anyone under 16. If you believe a child has sent us information, contact us and we’ll delete it.
12. Visitors outside the United States
We’re based in the United States, and our service providers may process information in the United States and other countries where they operate. If you contact us from outside the United States, your information will be handled in the United States under this policy.
13. Links to other websites
Some pages link to other websites, such as the official sources for the laws we mention. Those sites have their own privacy practices, and this policy doesn’t cover them.
14. Changes to this policy
When we change this policy, we’ll post the new version here and update the effective date. If a change is significant, we’ll put a notice at the top of this page for at least 30 days. We won’t use information we already have in a significantly different way without your consent.
